A remote project is not fully handed over when the final video call ends. Your team needs to locate the work, understand the decisions and operate the result without relying on the consultant's personal accounts.
Request an organised deliverable index
List the final documents, source files, approved versions and where each is stored. Separate working notes from accepted outputs. Ask the specialist to explain unresolved issues and assumptions that future users should understand.
For technical work, include deployment or operating instructions and the configuration inventory. Record environment-variable names without copying secret values into public documents.
Transfer knowledge through a real task
Have a team member perform a routine operation while the consultant observes. This may reveal missing instructions that a presentation would not uncover. Record the session only when everyone agrees and the content is suitable for retention.
Name the person responsible for future maintenance. A handover with no receiving owner usually becomes an archive rather than an operational resource.
Review access and support
Transfer ownership of accounts created for the engagement. Remove access that is no longer needed and rotate shared secrets where appropriate. The NIST small-business guide is a useful security reference when reviewing account and recovery responsibilities.
Document the support period, response expectations and what counts as additional work. Keep a short list of issues that can be resolved during support and improvements that belong in a later project.
Include these requirements in the original consulting scope. A planned handover is easier to deliver than one negotiated after the consultant has moved on to the next assignment.
